Adding it to your email program
Gmail: Settings → See all settings → Signature, then paste with Copy signature. Outlook (desktop or web): Settings → Signatures, paste into the editor. Apple Mail: Settings → Signatures; untick “Always match my default message font” and paste. If pasting loses formatting, choose Copy HTML code and use your program’s HTML or “source” option, or ask your IT team.
The signature uses simple tables and inline styles, which is what email programs support best. Images must be hosted on a public web address (upload your logo to your website or image host) — embedded images are often blocked. Many people never see images until they allow them, so keep your name and contact details as text.
UK companies: business emails should normally include the company’s full name, registration number, place of registration and registered office address (if it is a limited company), and VAT number where relevant. Requirements vary by business type, so check the current GOV.UK guidance or ask your accountant. For phone number formats see country phone codes.
