Simple Daily Expense Logger
A simple web form for logging daily expenses straight into a secure CSV or Excel file.
The Problem
Chasing receipts and expense claims at the end of the month is harder than it needs to be — a quick daily-logging form means the data's already there, accurately, when you need it.
About this problem
Expense tracking tends to fail at the end of the month, when receipts are lost and nobody remembers what each payment was for. The data is only reliable if it is recorded when the spending happens, and that needs an entry method quick enough to use from a phone. Writing each entry into a plain CSV or Excel file keeps the data in a format that an accountant or bookkeeper can open directly.
Sole traders, small teams and freelancers usually look for this when full accounting software feels too heavy for the job, but a notes app or messaging thread is too loose. They want consistent fields and a file they control, protected so only they can add entries.
What's Included
- A simple web form for entering expense details (amount, category, date, note)
- Each submission saved securely to a CSV/Excel file you control
- Basic category totals/summary view
- Access protection so it's not publicly open
What's NOT Included
- Receipt image storage/OCR (can be scoped as an add-on)
- Full accounting software replacement — this logs expenses, it doesn't do bookkeeping
- Multi-user approval workflows unless specifically requested
How It Works
- I agree the fields to capture, such as amount, category, date and note, and the list of categories you use.
- I build a mobile-friendly web form with validation so amounts, dates and categories are entered in a consistent format.
- I write the server-side handler that appends each submission to a CSV or Excel file stored outside the public web directory, with safe handling of special characters.
- I add a summary view that totals expenses by category and period from the stored file.
- I protect the form and summary behind a login or password and test submissions, file integrity and access from a phone.
In practice: you buy the service, send over whatever access or details the job needs, I investigate and do the work, and you confirm it's resolved before we call it done.
Frequently Asked Questions
- How can I log daily expenses into a spreadsheet from my phone?
- A simple web form can write each entry to a CSV or Excel file. You open the form in your phone's browser, fill it in and the data is saved for you.
- Is the data secure?
- The form is protected behind a login or password and the file is stored where it cannot be downloaded publicly. As with any web tool, you should still keep your credentials private.
- Can I scan or store receipt images?
- Not as part of this tool. Receipt storage and OCR could be scoped as an add-on.
- Does this replace accounting software?
- No. It logs expenses only and does not do bookkeeping, invoicing or tax reporting.
- Can several people use it with approval workflows?
- Multi-user approval workflows are not included unless specifically requested and scoped.
- Can I change the categories later?
- Yes, the category list can be adjusted. Larger changes to the form would be handled as an update request.
