Employee Timesheet Aggregator
Upload your raw timesheet CSVs and get accurate, per-employee hour totals calculated automatically.
The Problem
Adding up hours across multiple timesheets, shift exports or clock-in systems by hand is slow and genuinely error-prone — especially once overtime rules and different pay periods are involved.
About this problem
Timesheet exports are rarely uniform. Clock-in systems, shift apps and spreadsheets each use their own column names, date formats and time zones, and a single employee can appear several times per day with breaks, split shifts or a missing clock-out. Adding these up by hand, or with a spreadsheet formula, breaks down as soon as overtime thresholds or pay-period boundaries enter the picture.
People usually come looking for this when payroll day keeps turning into a manual reconciliation job, or after a miscounted total caused a correction. They want one repeatable process that reads the export they already have and produces totals they can trust, with odd entries flagged rather than silently included.
What's Included
- A tool that reads your actual timesheet export format
- Accurate per-employee totals, including overtime rules you specify
- Output as a clean summary ready for payroll
- Flagging anomalies (missing clock-outs, impossible shift lengths) for your review
What's NOT Included
- Running actual payroll or tax calculations (totals only, feeding into your existing payroll process)
- Integration directly into a specific payroll platform (can be scoped separately)
- Ongoing support for new timesheet formats as your systems change (re-scoped if that happens)
How It Works
- I examine a sample of your real export to identify the columns, date and time formats, time zone handling and how breaks or split shifts are represented.
- I write a parser that normalises every row into a consistent employee, start and end structure, and rejects or flags rows it cannot interpret.
- I implement your overtime rules (daily or weekly thresholds, rounding conventions) as explicit, documented settings rather than hidden logic.
- I add anomaly checks for missing clock-outs, overlapping shifts and implausibly long or negative shift lengths, and list them separately for your review.
- I generate a per-employee summary as a clean CSV or spreadsheet and test it against a past pay period whose correct totals you already know.
In practice: you buy the service, send over whatever access or details the job needs, I investigate and do the work, and you confirm it's resolved before we call it done.
Frequently Asked Questions
- How do I add up employee hours from a timesheet CSV automatically?
- A small script can read the export, group the rows by employee and sum the worked time according to your rules. I build it around your actual file format so you can re-run it each pay period.
- Can it handle overtime rules?
- Yes, as long as you can state the rules clearly, for example hours over a daily or weekly threshold. They are set up as configurable values so they can be checked against your own calculations.
- What happens if someone forgets to clock out?
- Those rows are flagged as anomalies for you to review instead of being guessed at. You decide how to correct them before the totals are used.
- Does it run payroll or calculate tax?
- No. It produces hour totals only, which you then feed into your existing payroll process. Payroll and tax calculations are not part of this tool.
- Can it plug straight into my payroll software?
- Direct integration with a specific payroll platform is not included, but the output can be formatted for import where the platform accepts a file. A direct integration would be scoped separately.
- What if my timesheet system changes its export format later?
- The tool is built for the format I see at the start. If the columns or structure change, that is treated as a new request so the parser can be adjusted and re-tested.
